Virtual Assistant Job Description VIRTUAL ASSISTANT TO JACOB I’m looking for someone proactive and detail-oriented with excellent written communication skills to be my virtual assistant. Summary: This is not an entry-level position. You MUST have at least 1-2 years experience working remotely as an executive assistant for a business owner.Expect to get several requests/day from me, many of which include tasks that must be done that day.You’ll handle both my business and personal details, including scheduling, customer support requests, uploading blog posts, managing social media, and making personal appointments.This is a client-facing role so you must have a nurturing, professional personality and the desire to treat my clients like they are your family.This is a part-time role, starting between 10-20 hours per month. If we work well together, this will likely increase to more hours per month.This role is remote, so you can work anywhere in the United States as long as you are available from 8am-5pm Eastern Time on weekdays. Tasks and Responsibilities Manage website on WordPress and create/ schedule social media posts on Facebook, LinkedIn and Instagram.Manage CRM (Hubspot) and keep leads updatedCollect and produce analytic reports for clientsMaintain daily calendar, arrange calls while making sure all details are handled in a professional and organized manner.Organize daily tasks and projects in Monday.com. You must be an excellent project manager and love optimizing processes.Locate and track key metrics in Google Sheets.Schedule a time for podcast interview/guest expertsSend books, contracts, resources to clients and respond to support requests. You must enjoy listening to and solving problems for others.Proofread blog posts / marketing emails for grammar & spellingAssist with monitoring of my inbox and emails, including responding to clients, other contractors, and business contacts.Research and be the point person for service providers for projects such as blog copywriter.Handle personal details such as shopping online, ordering gifts, etcCreate new systems to do all of the above more efficiently and/or automate with software. Knowledge & Skills Ability to manage multiple incoming requests, while ensuring they are relayed or handled at the appropriate time, in the necessary order and in the correct manner.Knowledge of Klaviyo, Shopify and WordPress.Ability to quickly learn new software applications. Must be extremely tech-savvy.Capability to set up new systems, automations, and processes in order to streamline business and personal functions.Desire to learn and grow, refusal to make the same mistake twice.Ability to pro-actively anticipate and spot new tasks that you can take over.
